Given the ongoing restrictions for Covid-19, it will not be possible to hold a face to face meeting as we normally do. But the Committee does want to give its membership the opportunity to review the last twelve months and put questions to Committee members.
The AGM for 2020 will be an online Zoom meeting – The meeting will include the normal business items, for example reports from the Secretary and Treasurer, plus a period of open discussion. Members may want to use the opportunity to let us know how clubs are coping during the pandemic, particularly with the restrictions on numbers allowed on walks and the need for social distancing. We will not be including any presentations from outside speakers this year.
The election of a new Committee would be difficult online and unless there are strong objections we will continue on block until such time as an Extraordinary General Meeting can be held – hopefully to coincide with our normal Spring Meeting. That said, we would strongly welcome one or two additional members and I am therefore attaching a form for nominating new Committee members.
Given the proposed format of the AGM this year, we do not feel that it is necessary to hold it on a Saturday and instead the meeting will be held on Tuesday 13 October starting at 7.00pm. Nearer the time we will send you a link for the Zoom meeting which will be facilitated by our Administrator, Duane Fitzsimons. We will also send you an agenda, minutes of the 2019 AGM and copies of the Secretary’s and Treasurer’s Reports.
In order to keep the meeting to a manageable size we ask that each club nominates no more than one person to ‘attend’ the AGM. If you can forward that person’s name and email address to Duane he will be able to send them the joining instructions directly. It would also be helpful if you could let us know in advance of any questions that your club would like to put to the Committee.

If you are nominating someone please include their name and the Club. You should also copy the nominated person and seconder into the email. Postal copies will be accepted but given the current circumstances in the midst of the Covid-19 pandemic it may be difficult to countersign the form.
